Introduction
When a borrowing request can't be filled by any of the lending libraries on your rota, your library can choose to how the borrowing request is handled. The borrowing request can show as an active request that staff will update or the borrowing request can be automatically completed.
Borrowing Request Active Activity Status and Rejected by Partner
A library may choose to have requests that have not been filled by lending libraries have this status so staff can review the request and see if the request can be filled in another way. Some libraries have OCLC WorldShare and may choose to create the request in WorldShare Interlibrary Loan. A library may choose to purchase the item. Borrowing Request Completed Activity Status, Rejected by Partner and letter sent to patron
A library may choose to have requests that have not been filled by lending libraries update to a Completed Activity status and have a letter sent to the patron that the request can't be filled. The software will automatically update borrowing requests with a Rejected by Partner status to cancelled based on the General Setting parameter rs_keep_rejected_request_active.
General Setting rs_keep_rejected_request_active
The General Setting parameter rs_keep_rejected_request_active can be set to keep a rejected lending request active, a rejected borrowing request active, both rejected lending and borrowing requests active or none of the rejected requests active.
When Alma was setup for MnPALS libraries, a network zone choice was made to keep Rejected by Partner Borrowing requests Active. This was to allow staff to review the rejected borrowing requests. This setting is available at the Institution level.
1.) Click on Configuration
2.) Configuring is set to your Institution
3.) Click on Fulfillment
4.) Under General click on Other Settings
The list of Customer Parameters displays search for the parameter key rs_keep_rejected_request_active
5.) Use the parameter key search and enter the text rs_keep_rejected_request_active in the search box.
The parameter displays.
6.) Click on More Actions (three dots)
7.) Click on Customize
8.) A Confirmation Message displays that a network setting will be changed. Click on Confirm to make a change to the setting.
9.) The parameter displays and the parameter value can be changed
The parameter value to type in so borrowing requests are updated to Completed and a cancel letter is sent to the patron is None.
10.) Type None in the parameter value field.
11.) Click on Save
Ful Cancel Request Letter
The Ful Cancel Request Letter is the letter sent to your patron when a rejected request is not able to be filled by lending libraries.
When the rs_keep_rejected_requests_active parameter value is set to None, the letter will be automatically sent to the patron.
1.) Click on Configuration
2.) Configuring at institution level
3.) Click on General
4.) Under Letters click on Letter Configuration
A list of letters displays.
5.) Use the Name search and type in ful cancel request and click on the magnifying glass or enter key.
The Ful Cancel Request Letter with the Email Channel is the letter that should be enabled and edited.
6.) Enable the letter
7.) Click on More Actions (three dots) and select Edit
To see the text of the letter that will be sent enter an email address that you have access to, into the Send example by email field.
8.) Enter the email address in Send example by email field
9.) Click on Send
The letter can be edited to provide the information your library wants to share with the patron.
