Using the AI Metadata Assistant


Notes
Please note you must have the Cataloger and AI Assistant Cataloger Roles assigned in order to turn on the AI Metadata Assistant.
Do not remove the generate 588 MARC field.
Do not share AI generated bibliographic records with the Network Zone, the records do not include OCLC numbers.

Enabeling the AI Assistant

  1. Configuration ->Resources -> Cataloging -> AI Usage Profile
  2. Switch the radio button from No to Yes in the top section.
  3. Choose "MnPALS Overlay all but local" or "Overlays all fields but local and 583."
  4. For the Normalization Process choose OCLC Normalization.
  5. Click Save.
  6. This is considered a configuration change, please log off Alma and log back in.

Creating a new bibliographic record using the AI Assistant

  1. Open the Metadata Editor.
  2. In the bibliographic record section, click on the New menu option.
  3. Choose Create with AI Assistant from the menu.
  4. In the form enter a title and other fields.
  5. Further, attach images, pdf or word files related to the item. For example, title page, verso, front and back cover.
  6. Click Generate Record.
Note that it will take a little time before AI Assistant generates the bibliographic record.
Once complete the record will appear in the left column in the Metadata Editor.
Click on the title to open the record in the metadata editor.
Do not remove the generated 588 MARC field (“Part of the metadata in this record was created with the help of the AI Metadata Assistant.”) from the record. It is a useful note to find records generated by AI.

Enhancing bibliographic records using the AI Assistant

  1. Retrieve the bibliographic record and open it in the metadata editor.
  2. From the Editing Actions menu, choose Enhance with AI Assistant.
  3. Please note if the record is linked to the Network Zone, you cannot update the record using the AI Assistant.
